Subject: Online Registration of Class IX/XI students for 2017-18

 

Dear Sir/Madam,

 

Online Registration for Regular Candidates of Class IX/XI of CBSE affiliated schools has started on CBSE website www.cbse.nic.in. All CBSE affiliated schools should register themselves before proceeding for online submission. They can use the password and ‘Affiliation Number’ as user ID already available with them. Newly affiliated schools should contact the concerned Regional Office of the CBSE for obtaining password. After receipt of password schools are advised to change the password for future use and keep confidential to avoid misuse. In the event of any difficulty, concerned Regional Office may be contacted as per jurisdiction/contact details given in the Annexure.

 

Features of this year’s Online Registration system are:-

 

Schools have to enter number of sections for which registration is to be done studying in classes IX and XI. This information should be first decided before starting online registration. This information should be filled very carefully as schools will not be allowed to change the declared section/strength afterwards. System will automatically multiply the number of section entered by 40. Thereafter school can start entering candidate details.

 

Example:- A school has 3 sections in class IX with 39, 41 and 41 ( Total 121) students respectively than the school will need to enter required section = 4 ( 3×40=120 and 1 extra candidate). After filling number of sections as 4, School will not be allowed to fill candidature of more than 160 students. Those schools who have already taken admission of some candidates and anticipating approval of such admissions from CBSE should include such candidates (before entering number of sections) for which approval is expected in the month of October/November 2017. Similar calculation should be followed in class XI.

 

  • Class IX examination will be taken internally by the school and its Marksheet will be issued by the school. Class X examination will be conducted by the CBSE. Marks of internal assessment of class X will be collected by the Board online.

 

  • CBSE has also prescribed remodeled assessment system for class VI to VII examination. For details please refer to circular no. Acad-14/2017 dated 21.03.2017.

 

  • CBSE has not prescribed any minimum age for registration in class IX/XI. As per Rule 6.1(a) (iii) of the Examination Bye-Laws school may ensure that the student satisfies the requirement of age limit (minimum and maximum) as determined by the State/ U.T. Government and applicable to the place where the School is located, while seeking admission in a class.

 

  • Information about Annual Income of Parents is collected based on self declaration of parents. Schools should not demand ITR/other income proof from parents.

 

  • Aadhar number field provided in online system is mandatory. Wherever Aadhar number is not available; Aadhar enrolment number can be provided. Residents of Indian states where Aadhar enrolment is not being done may provide Bank details in lieu of Aadhar.

 

  • In respect of Foreign nationals Passport Number can be provided. In event passport number is not available Social Security Number/ID Number issued by that Foreign Country may be mentioned.

 

  • For class XI, schools are advised to offer only those subjects for which they have been permitted to offer these subjects by the Affiliation Unit of the Board. In case school sponsor subjects other than allowed to it by the Board, it may lead to action against the school, in addition to cancellation of candidature of such students.

 

  • Board has prescribed scheme of studies (available in the curriculum on the website www.cbseacademic.nic.in) for Secondary/Sr. Secondary classes. School is required to offer the subjects in adherence with the Scheme of Studies.

 

  • In accordance with the Scheme of studies, Board has prescribed list of valid/ Invalid combination of subjects. School should check the combination of subjects before filling in the subjects. Example: In class XI subject Informatics Practice and Computer Science cannot be taken together.

 

  • All Independent Schools situated in India have to deposit Sports Fee of Rs. 10000/- alongwith registration fee. This fee is collected by the Online system by default. No separate sports fee is required to be sent by the schools situated in India to Regional Offices.

 

  • Schools can complete the registration process by individual entry or uploading filled excel file provided by the CBSE system.
  • In case of any refund of payment made, schools should contact the Regional Office concerned.

 

  • Schools are required to send the signed copy of finalized data of registered students of class IX/XI to concerned Regional Office only. Schools are advised not to send it to CBSE, Preet Vihar, Delhi.

 

  • Instructions for submission of LOC for class X/XII, and online form for Pvt/IOP will be issued separately.

 

  • For candidate registered in class IX from academic year 2017-18, their will be mandatory Board Examination in class X.

 

  • CBSE has remodeled assessment system for class X examination in which 80 Marks will be of theory examination and 20 marks internal assessment. There is mandatory minimum passing 33 % for theory, internal assessment separately. For details on assessment system for the classes IX and X please refer to circular no. Acad-05/2017 dated 31.01.2017.

 

  • As already informed vide circular No. Acad-05/2017 dated 31/1/2017 there will be no upscaling / upgradation of scholastic grades for the students appearing in Class X Board Examination 2018 and onwards.

 

  • The school offering Vocational subjects may refer to the revised assessment system for class X as detailed in the circular no. Acad.-11/2017 dated 09.03.2017.

 

  • All schools who are interested to offer vocational subject in class IX may do so from the academic year 2017-18 and the students may be registered. The subjects that may be taken are Language-I, Language-II, Mathematics, Science, Social Science, Vocational subject as detailed in circular Academic-5/2017 and Regional Language as Language-III (as optional subject). Other conditions will remain same as mentioned in the circulars Acad-05/2017 dated January 31, 2017 and Acad-11/2017 dated March 9, 2017. It is highlighted that vocational subject and Language-III shall be strictly treated as optional additional subjects and may be introduced only if the school and students wish to offer it.

 

  • Since CBSE-i has been discontinued vide Notification No. Acad. 06/2017 dated 31.01.2017 all such schools are advised to offer only main curriculum of CBSE and register its candidates through online mode.

 

Detailed Procedure, Fee, Registration mechanism, Valid combinations etc. are described in detail in the enclosed Annexure. Schools are advised to go through the detailed procedure before applying.   • Duly signed Registration list should be sent to the concerned RO within 7 days of finalization of data. 15 days grace time in place of 7 days for submission of signed Registration list in the concerned RO for schools belonging to remote areas viz. All Independent Schools located in India have to deposit mandatorily Sports Fee of Rs. 10000 per school per year alongwith above registration fee. Online system will automatically add this fee.

 

Illustration for calculating Late Fee:

 

Fee shall be applicable as per fee schedule i.e. the date on which the data is finalized is taken for account for fee calculation i.e. If students’ details are entered before 7th November and finalization of data is done by school on 7th November ( or earlier) then NO late fee shall be applicable. If students’ details are entered before 7th November and finalization of data is done on 8th November then late fee shall be applicable.

STEPS IN ONLINE REGISTRATION CLASS IX/XI

 

  1. During the process of Registration school will be required to update the following :-

(b) School Details:

 

Any correction in School details such as Principal Name, Phone Number, Experience, School website, valid Email address for future communications, Name of person(s) along with designation, authorized to submit students’ details online should be updated.

 

(c) Updation of Teacher Training Details:

 

This option can be used to give mandatory details about the teacher training details in the schools. The details can be filled only once and hence should be done carefully. The printed hardcopy of the details should be submitted along with Final List in the concerned Regional Office.

 

  1. Method of Uploading individual entry and uploading Excel file in lot:

 

  • Schools having few students in class IX/XI can enter the details directly on the website by individual entry.

 

  • For bulk entry schools can optionally download the excel file by clicking the option ‘Download Excel File’. Following may be kept in mind while filling data in excel file:-

 

  • SCHOOLS SHOULD NOT CHANGE THE FORMAT OF EXCEL FILE OTHERWISE THE STUDENTS DATA WILL NOT BE UPLOADED PROPERLY.

 

  • SCHOOLS CAN UPLOAD THE DATA THROUGH EXCEL FILE ONCE ONLY. SUBSEQUENT ADDITIONS, CORRECTIONS AND DELETIONS, IF ANY, SHALL HAVE TO BE MADE ONLINE ONLY.
  • The mobile number and E-Mail id on which the candidate can be contacted may be given.

 

  • After complete entries of the data in excel file and thorough checking, the same may be uploaded by clicking ‘Upload Excel File’ option. Don’t FINALISE the data immediately till you Prepare a

 

Check list and do necessary corrections.

 

  • The schools should tally and cross check the information submitted carefully and meticulously the details of each student enrolled as per the details available in the Admission and Withdrawal register of the School.

 

  • Schools are advised to be careful while entering name/Date of birth/other particulars of students.

 

  • Requests for correction in particulars will be entertained only in accordance with the rules notified vide Notification dated 25.06.2015.

 

  • The date on which the student’s details are finalised shall determine the fee to be paid by the school and shall be generated automatically by the computer.

 

  • Those having poor connectivity of internet at school are advised to download excel file and make entries in offline mode. Then a text print be taken before uploading. The excel file can be uploaded from a broadband connected computer/cyber café.

 

  1. Check List Printing of Registered Students:

 

  1. Schools shall take a print of list of students submitted by choosing the option “Check list

 

Printing of Registered Students”.

  1. The printer settings may be set for A4 size paper with Landscape printing with all side margins set to 0.25”.
  2. The heading of this List will be ‘CHECK LIST OF STUDENTS REGISTERED FOR CLASS…’
  3. d. The details in the list may be compared with the Original Admission and Withdrawal register.

Subject Code and Subject Name offered by each student should also be checked.

 

  1. When all corrections including spelling mistakes have been noted down, correction have to be carried out online by choosing option “Correction of Registered List of Students”.

 

 

 

  1. Correction of Registered List of Students:

This activity has three options ADD, MODIFY, DELETE.

 

  • ADD: Details of any left out students/ new students can be submitted.

 

  • MODIFY: Correction in the already submitted details of the student can be updated/ modified/corrected. The Record No. printed against the student’s details is typed and the student’s details shall be displayed on the screen. Required updation/ correction/ modification can be typed against the particular details.

 

  • DELETE: Already submitted details of the student can be removed from the list completely by typing the Record No. printed against the student’s detail whose details are to be removed from the list. Student’s details shall be displayed on the screen before deletion. Details once deleted can not be recovered and has to be re-entered if needed again by using ADD option.

 

Note: Option “Checklist Printing of Registered Students” and Option “Correction of Registered List of Students” may be repeated any number of times till the list is error-free.

 

  1. 5. Finalisation of Data and Fee Payment:

 

  1. When all corrections including spelling mistakes in candidate/mother/father name have been carried out and the list is error free, finalisation of data should be done.

 

  1. Finalization of data means no more correction /deletion /modification of data which have been submitted which implying thereby data submitted is final.

 

  1. Even after finalization of first lot of data (excel file) addition of more students is possible in the next lot (by individual entry online) provided the date of submission of details is within the time schedule the limit of number of students informed is not reached for the new lot fee shall be as per fee schedule for that period.

 

  1. A school can add students in maximum 5 lots (One lot of Excel uploading & 4 times individual online entries.

 

  1. After finalization of data, the requisite fee is to be deposited electronically as per available modes of payment. Kindly refer to Fee page.

 

 

  1. Printing of Final List of Registration of Students:

 

  1. Final list cannot be generated unless fee is deposited. Schools shall take printout of Final list of registered students.

 

  1. The heading of this List will be ‘FINAL LIST OF STUDENTS REGISTERED FOR CLASS___’.

 

  1. Once Final list is generated, no more addition, deletions or corrections can be made on this data.
  2. The printer settings may be set for A4 size paper with Landscape printing with all side margins set to 0.25”

 

  1. The Schools shall firmly affix recent high contrast passport size preferably black & white photograph of the students which clearly indicates the name of the student along with the date of taking the photograph (photograph should have been taken on or after 1st April of the academic session) with gum/adhesive (not to be pinned or stapled) in the space provided against student’s information and obtain signature of the student in the space earmarked for it.

 

  1. A photocopy of the Final printout with Student’s signature and photograph should be retained by the School as office copy.

 

  1. Dispatch of Final list to CBSE Regional Office:-

 

  1. School shall send the following to the Regional Office Concerned:-

 

  • Final List duly signed by Principal, as prepared in para above.
  • Proof of depositing the fee.

 

Note: A photocopy of the all documents sent to Board should be retained by the School as office copy.

 

  1. The envelope containing the above should be sent by “SPEED POST” to the Regional officer

 

as per address given in the list. List should not be sent to CBSE Preet Vihar Head Office Delhi.

 

 

  • Since CBSE has adopted cashless electronic payment for various examination activities school should not pay any amount in cash to any functionary of Bank/ Board to process it application.

 

  • School should ensure those candidates sponsored by them are actually attending their school. Sponsoring of fake, non-attending candidate will lied to disaffiliation of school.

SUBJECT COMBINATIONS TO BE SELECTED for students of Class IX

 

Class IX and X is an integrated course. Students need to take only those subjects in class IX which he/she intends to continue in CLASS-X

 

Scheme of Studies – Secondary School Examination for academic session Class IX 2017-18 and Class X 2018-19.

  • At subject 1 and subject 2 students can be offered a language in a manner that one language is either English or Hindi. See examples on next page for details.

 

(**) Any language other than selected at subject 1 and 2.

 

Subjects at Sl. No. 6 and 7 are purely optional. Students who wish to take only 5 subjects can be offered the same.

 

  • – For students of NSQF stream:
    1. Those students who have been offered 6 subjects including a vocational subject as 6th subject, If such a student fails in any one of the three compulsory subjects (i.e., Science, Mathematics and Social Science), then it will be replaced by the Vocational subject (offered as a 6th additional subject) and result of Class X Board Examination will be computed accordingly. In result the marks obtained in all 6 subject will be shown including the grade obtained in fail subject. Such replacement facility is not available if academic elective is taken at 6th/7th

 

  1. In cases where 6th subject is not opted, language-III chosen at 7th place will automatically became 6th subject of that candidate. However, no such replacement facility from failing subject will be available to such candidate.

 

  1. For academic subjects, there will be question paper of common (same) difficulty level for students of Main Academic Course and NSQF Course.

 

  1. Under Co- Scholastic activities student opting vocational subject shall be exempted from work education or pre-vocational activities. However, no upscaling of Scholastic grades will be done at all.

 

General instructions

 

  • Only those subjects can be offered by the school to the candidate in respect of which approval of the CBSE has been given vide Affiliation Department of CBSE. Wherever restriction on number of candidates has been imposed by CBSE school should not exceed such limit of number of candidate.

 

  • For details regarding subjects and scheme of studies please refer to Curriculum available on the website of CBSE.

 

(iii)CBSE has issued consolidated instructions for differently abled students which are available on www.cbseacademic.in  circular  no.  CBSE/COORD/112233/2016  Dated  24th  January,  2017.

Schools are advised to go through the instructions for and should contact the concerned RO for availing any such facility provided by the Board. CBSE also allow separate combination of subjects for such candidates. These subjects can be offered only in case that school has the approval of such subjects from Affiliation Unit/RO.

 

(iv) CGPA will be calculated out of first five subjects. Grade obtained in vocational subject will be reflected in the Grade card issued by the Board.

 

  • Note regarding additional subject: Board issues mark sheet indicating grades obtained in each subject separately. No aggregate score/percentage is mentioned by the Board. Candidates who takes 6 subjects( 5 main and 1 additional subject) and passes in all 6 subjects, the percentage is calculated according to the norms of college/institutions in which the candidate is taking admission.

 

  • The first 5 subjects in the chronological order of filling the subjects in online registration system are considered as Main subjects. In respect of those candidates who take 6 subjects( with vocational at 6th place) and their 3rd subject is replaced by 6th subject due to failing in 3rd subject, the 3rd subject will convert to 6th subject for all practical purpose.

 

  • Candidates who have selected 5/6 subjects in class IX/XI and want to change(or add/delete) the subjects in class X/XII due to academic reasons/medical reasons are advised to contact the Regional Officer of CBSE through their school. The schools are expected to ensure the correctness of the subjects offered by the candidates and the subjects being taught in the school. The data uploaded for each candidate should be accurate in all respects.

 

  • It has been observed in past that there is a variation between subjects offered by the

 

candidate and the subjects being taught. To ensure accuracy of data, the Subject Code and Subject Name must be checked carefully for each candidate.

 

  • If correct subjects are not chosen, data filled through EXCEL file will show error on server after uploading the filled excel file. The error will be rectified only after choosing correct subject combinations. For Example: Subject Offered by the candidate is shown as

  1. The first 5 subjects in the chronological order of filling the subjects in online registration system are considered as Main subjects.

 

  1. Candidates who takes 6 subjects( 5 main and 1 additional subject) and pass in all 6 subjects, the percentage is calculated by the employer/institution/university according to the norms of employer/institution/university in which the candidate is taking admission.

 

  • Those students who have taken 6 subjects, If student fails in one elective/language of the first five subjects, then it is replaced by the 6th (elective/language offered as a 6th additional subject) and result will be computed accordingly.

 

  1. Board does not declare the aggregate percentage/ranks/ toppers. However, wherever if the list of candidate with best performance is sought by the university/colleges than the list is generated based on the academic performance in first five subjects in which he has passed.

 

  1. Candidates who have selected 5/6 subjects in class IX/XI and want to change(or add/delete) the subjects in class X/XII due to academic reasons/medical reasons are advised to contact the Regional Officer of CBSE through their school before 31st August of that academic year.

 

  1. Only those subjects can be offered by the school to the candidate in respect of which approval of the CBSE has been given vide Affiliation Department of CBSE.

  • CBSE has issued consolidated instructions for differently abled students which are available on www.cbseacademic.in circular no. CBSE/COORD/112233/2016 Dated 24th January, 2017. Fee Payment

 

 

After finalization of data fee payment option to empanelled Banks will appear.

 

Fee can be paid through online mode to these Banks through online Banking/Electronic collection.

 

Schools located in foreign can pay by SWIFT/international debit card.

 

Wherever challan is generated it will have validity of 4 days. Amount mentioned therein must be deposited within 4 days / before validity period failing which fresh Challan needs to be generated which may attract late fee. Late Fee (if any) will be calculated as per the date of finalizing data.]

 

Fee paid is automatically updated by the Banks on CBSE server within 24 hours.( except SWIFT payments). Updation of SWIFT payment takes 2-3 days.

 

In case of Bank related transaction or non updation of Fee on server school should contact to the respective Bank through which payment is done. Contact details of Banks is given on website of CBSE.
